Key Responsibilities
Executive & Administrative Support- Provide high-level administrative and secretarial support to senior professionals
- Manage complex diaries, scheduling meetings and coordinating across multiple stakeholders
- Ensure efficient day-to-day operations through proactive organisation and prioritisation
- Arrange complex travel itineraries including flights, accommodation, and logistics
- Prepare travel documentation and meeting materials
- Coordinate internal and external meetings, events, and conferences
- Manage expense reporting, ensuring accuracy and compliance with internal policies
- Support billing processes, including time entry, invoicing, and tracking outstanding payments
- Liaise with finance teams to ensure efficient billing cycles
- Act as a key point of contact for internal teams and external clients
- Support relationship management and business development activities
- Maintain CRM systems and update client records
- Assist with onboarding processes, including documentation and compliance checks
- Maintain accurate records and ensure documentation is up to date
- Support internal processes and contribute to continuous improvement
Key Requirements
Experience- Minimum 3 years’ experience in an Executive Assistant or senior administrative role
- Experience supporting senior stakeholders in a fast-paced, professional environment
- Excellent organisational and time management skills
- Strong attention to detail and ability to meet tight deadlines
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) [ie.indeed.com]
- Experience managing travel, billing, and administrative processes [ie.indeed.com]
- Professional, proactive, and highly reliable
- Strong interpersonal and communication skills
- Discreet with the ability to handle confidential information
- Team player with the ability to work independently
