PA/Administrator to Director
PA / Administrator to Director – Hybrid – Dublin City Centre – 2 year FTC
Here at Osborne, we are seeking a highly organised and efficient Administrator on behalf of our client within the medical devices sphere. This role is crucial in ensuring the smooth and timely operation of the department's routine functions. The successful candidate will have previous administrative experience ideally working with a director or senior management where they managed a busy schedule.
Salary: €30,810 pro rata
Key Responsibilities:
Managing the Director's Outlook calendar, arranging and confirming meetings, and coordinating travel for external meetings and events.Collating information for Monthly Reports for Management Committee and Board meetings.
Provide administrative support for internal department meetings.
Coordinate external meetings including training events, workshops, Information Days, and Steering Group meetings.
Liaise with relevant stakeholders on behalf of the Director and the Medical Devices Department.
Answering telephone and email queries, monitoring internal mailboxes, while providing timely responses to queries or requests.
Updating the website, SharePoint, or joint calendars under the Director's direction.
Supporting the regulatory team and monitoring progress and status of cases.
Liaise with external organizations and European regulatory bodies.
Perform non-product specific administration tasks such as typing, photocopying, scanning, etc.
Ensuring consistent communication of policies and procedures to stakeholders.
Qualifications and Experience:
Minimum of 1 year experience in a fast-paced office environment.
Diary & Calendar management experience is advantageousExcellent planning and organizational skills, with the ability to prioritize and manage large volumes of work.
Ability to work well under pressure with short deadlines and unexpected changes.
Strong communication skills, both written and verbal, with high discretion.
Strong attention to detail with the ability to multitaskProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and databases.
Proven track record of working in a team environment requiring high flexibility.
