Job Description

Duties

This is a developmental opportunity, no experience necessary. Accredited training will be provided to support your career.

Main Duties and Responsibilities:

The following is not an exhaustive list of the duties associated with the post but is intended for the guidance of the person assigned to the job.

Reception:
  • Report for work at the appointed hour and leave at the appropriate time.
  • Meet and greet clients and visitors in the appropriate manner.
  • Date-stamp and distribute post to individual trays/pigeon holes.
  • Prepare boardroom and meeting room as requested and organise refreshments for meetings as required.
  • Typing and photocopying as directed.
  • Frank and post letters each evening.
  • Ordering and receiving of stationery (including checking orders).
  • Work as part of the reception team when required.
  • Collection of newspapers and milk in the mornings.
  • Assist with maintenance of the partnership’s library of reference materials.
  • Respect client confidentially.
  • Attend training and team meetings as required.

Administration:

  • General administration support for the Partnership’s programmes as required. e.g. Enterprise & Employment / Community / Finance teams etc.
  • Input data from the various partnership programmes into relevant databases as required.
  • Photocopy and file all hard copies of relevant files.
  • Input training evaluation forms into SSP training database / evaluation system as appropriate.
  • Attending relevant promotional events as needed e.g. Jobs fairs, Education fairs, Enterprise week events, Community events etc. and staffing SSP information stands.
  • Other relevant duties as assigned from time to time.
Person Specifications:
  • Candidates should have an excellent telephone manner
  • Organizational and administrative experience desirable
  • Good IT skills including MS office applications / database etc.
  • Pleasant, friendly, have a welcoming manner, good communication and interpersonal skills.
  • Commitment to confidentiality, respect for clients and adhere to current GDPR regulations.
  • Ability to work on their own initiative and as part of a team.
  • Previous reception and administration experience would be an advantage.
  • Full training will be provided to assist the successful candidate to settle into the role.
