Office Administrator – Dublin City Centre
Salary: €30,000 – €32,000 DOELocation: Dublin 8 (Fully Onsite)
Hours: Monday to Friday, 9:00 AM – 5:00 PM
A well-established not for profit organisation in Dublin City Centre is seeking a dedicated and highly organised Office Administrator to join their team on a permanent, full-time basis. This role is ideal for someone with solid administrative experience who enjoys working in a mission-led, supportive environment.
Reporting directly to the Office Manager, and providing support to the CEO and Senior Management Team, the successful candidate will play a key role in ensuring the efficient day-to-day operation of the office.
Key Responsibilities:
Perform a variety of administrative tasks, including filing, mail distribution, meeting scheduling, and general office upkeep.Answer and route incoming calls, monitor voicemails, and ensure timely follow-ups.
Monitor the main email inbox, responding or redirecting as appropriate.
Welcome and assist visitors, manage office access and visitor logs.
Maintain internal databases, input data accurately, and support the generation of reports.
Oversee staff and organisational insurance policy updates.
Provide confidential administrative support to senior leadership.
Draft and edit reports, presentations, and other key documents.
Coordinate and prepare materials for board and committee meetings.
Issue approved sales invoices and manage petty cash and expense claims.
Track staff leave, including annual, sick, and statutory leave.
Liaise with funders and manage associated documentation.
Maintain and update the funding schedule, ensuring timely invoicing and accurate records.
Experience and Skills Required:
2–3 years’ experience in a similar administrative or office support role.Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
Strong organisational and time management skills, with the ability to prioritise tasks effectively.
Excellent written and verbal communication skills.
High level of attention to detail and professionalism.
Discreet and reliable, with the ability to handle confidential information.
A proactive, can-do attitude and willingness to support a team-driven environment.
Eagerness to learn and contribute to the organisation’s overall mission.
