We are seeking a motivated and organized Property Administration Officer to provide essential support in the day-to-day management of our commercial portfolio.
Key ResponsibilitiesTenant & Lease Administration:
- Serve as a main point of contact for tenant inquiries, resolving issues efficiently and professionally.
- Prepare and issue tenant correspondence, lease documentation, and routine notices.
- Maintain accurate tenant records, lease files, and critical date schedules in our property management software.
- Manage the administrative process for tenant move-ins and move-outs.
- Prepare and issue monthly rent invoices and statements.
- Proactively monitor rent collections and follow up on overdue payments according to company procedure.
- Process accounts payable invoices, verifying accuracy and coding before payment.
- Assist with the preparation of data for monthly management reports.
- Support the Commercial Operating Cost (CAM) process by helping to compile chargeable expenses and preparing initial reconciliation data for manager review.
- Coordinate tenant repair requests by liaising with our approved contractors and maintenance team.
- Obtain quotes for minor repairs and services as directed by a Property Manager.
- Help maintain the vendor database, ensuring all contractor certificates of insurance are valid and on file.
- Ensure all property and tenant files (both digital and physical) are kept organized and up-to-date.
- Conduct regular audits of data in the property management system to ensure accuracy.
- Provide general administrative support to the property management team.
Qualifications and Experience
Essential:- 2-3 years of experience in an administrative role, ideally within property management, real estate, or a professional services environment.
- Proficiency in Microsoft Office Suite, with good working knowledge of Excel (VLOOKUPs, PivotTables).
- Experience using a property management software system (e.g., Yardi, MRI, Property Tree, etc.).
- Excellent organizational and time-management skills, with the ability to priorities a varied workload.
- Strong verbal and written communication skills.
- A proactive problem-solver with a high attention to detail.
- Experience within a commercial property setting.
- A basic understanding of commercial lease terms and conditions.
- An administrative or business-related qualification.
