Office Manager/EA – Permanent – Dublin 2 – Fully Onsite
Are you a highly organised, proactive professional to run the day-to-day operations of our Dublin office and provide executive support to senior leadership? This hybrid role suits someone who thrives in a fast-paced environment, can juggle multiple responsibilities, and has strong attention to detail.
Salary: up to €50k DOE
Duties:
Oversee daily office operations and maintain a professional, efficient workspace.Lead a team of admin staff, ensuring high standards and smooth task delegation.
Liaise with the landlord and facilities management company; manage third-party contracts.
Manage facilities communications, including maintenance updates and office policies.
Ensure compliance with Health & Safety policies in partnership with HR and external providers.
Keep records of subscriptions, memberships, and suppliers up to date; manage supplier relationships.
Oversee the office budget and look for cost-saving opportunities.
Support with general admin tasks like preparing meeting materials and liaising with IT.
Managing diaries for 4 senior executives, handling scheduling and prioritising with discretion.
Arrange domestic and international travel, including logistics and visas.
Draft correspondence, prepare reports, manage expenses, and provide general admin support.
Plan and coordinate key events (e.g. board trips, investor meetings, VIP visits).
Offer proactive support to the leadership team and take on ad-hoc projects as needed.
Requirements:
At least 5 years’ experience in a similar combined Office Manager/EA role.Highly organised with excellent multitasking and time management skills.
Professional, confident communicator with strong interpersonal skills.
Discreet, reliable, and able to handle sensitive information with care.
Tech-savvy, with strong Microsoft Office skills.
Positive, flexible, and calm under pressure.
A team player who takes initiative and enjoys improving systems and processes.
