Overview
I am recruiting on behalf of a client based in Limerick who are seeking a professional, organised, and customer-focused Administrator/Receptionist to join our team in Limerick. The successful candidate will be the first point of contact for clients, visitors, and suppliers, while also providing essential administrative support to ensure smooth day-to-day operations.
Key Responsibilities
Reception Duties- Greet visitors and clients in a friendly and professional manner.
- Manage incoming calls, emails, and queries, directing them as appropriate.
- Maintain the reception area to ensure a welcoming and professional environment.
- Manage booking of meeting rooms and coordinate visitor sign-in procedures.
- Perform general administrative duties including filing, scanning, data entry, and document preparation.
- Manage incoming and outgoing post and deliveries.
- Maintain office supplies and place orders when required.
- Assist with scheduling appointments and diary management.
- Support internal departments with administrative tasks as needed.
- Update internal databases, spreadsheets, and records accurately.
- Liaise with external service providers (maintenance, cleaners, couriers, etc.).
- Assist in organising company events, training sessions, or meetings.
- Ensure compliance with company policies, GDPR, and health & safety guidelines.
- Previous experience in a receptionist or administrative role (1-2 years desirable).
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and general IT systems.
- Ability to work independently and as part of a team.
- Professional, friendly, and approachable manner.
- High level of accuracy and attention to detail.
Ability to handle confidential information discreetly (GDPR awareness essential).
Desirable- Experience working in an office environment in Ireland.
- Familiarity with CRM systems or office management software.
- Knowledge of Irish business administration practices.
- Minimum Leaving Certificate or equivalent required.
- Business administration or office management qualification is an advantage.
