We are actively seeking a motivated and professional Receptionist to join our team in Cumas New Ross under the Community Employment (CE) Programme. The role involves providing general clerical, operational, and administrative support in a professional and confidential manner under the guidance of the Line Manager.
Main Duties & Responsibilities: ⦁ Greet and welcome visitors, ensuring they sign in and are directed appropriately.
⦁ Answer and transfer incoming phone calls, take messages, and provide accurate basic information.⦁ Sort incoming mail and prepare outgoing mail efficiently.
⦁ Maintain a clean, organised, and welcoming reception area.
⦁ Schedule meetings, appointments, and room bookings, ensuring no scheduling conflicts.
⦁ Prepare meeting rooms and ensure refreshments are available as required.
⦁ Monitor and reorder office supplies, PPE, and store supplies; process purchase orders for approvals.
⦁ Ensure office equipment such as printers, shredders, and laminators are in working order with sufficient supplies.
⦁ Input data into databases accurately and maintain up-to-date client records and contact details.
⦁ Carry out general administration tasks including filing, photocopying, scanning, and document updates.
⦁ Maintain, archive, and dispose of records in line with GDPR and organisational policies.
⦁ Report any issues, challenges, incidents, or concerns to the Line Manager promptly.
⦁ Adhere to confidentiality, health and safety, and organisational standards at all times.
⦁ Attend mandatory and specific skills training as scheduled.
