Administrative Assistant – Client Services
We are seeking an experienced and highly organised Administrative Assistant to support two senior professionals within a busy professional services environment. This is a full-time, permanent position suited to an individual who works well independently while also contributing effectively as part of a team.

Role Overview
The successful candidate will play a key role in supporting client service delivery by assisting with day-to-day administrative operations, managing workflow, and ensuring a high standard of client care.
This position requires strong organisational skills, attention to detail, and the ability to prioritise competing demands in a fast-paced environment.
Key Responsibilities- Manage and monitor two professionals’ email inboxes, ensuring correspondence is filed, prioritised, and responded to in a timely manner
- Review, categorise, and distribute incoming client communications, resolving queries at first point of contact where possible
- Liaise with internal team members to ensure client files are progressing efficiently
- Answer and manage incoming calls, direct queries, and take accurate messages
- Schedule meetings, coordinate calendars, and issue meeting confirmations
- Open and maintain client files in line with internal procedures
- Carry out Anti-Money Laundering (AML) compliance processes on client files
- Perform data entry and maintain records on the case management system
- Coordinate virtual meetings (e.g. Microsoft Teams) and support onsite client meetings
- Provide general administrative support during meetings (e.g. preparing documents, refreshments, scanning)
- Manage general office and facilities-related tasks, liaising with external service providers (IT, maintenance, cleaning, etc.)
- Support colleagues with ad hoc administrative duties as required
- Minimum of 3 years’ experience in an administrative role within a professional office environment
- Previous experience in a legal or professional services setting is advantageous
- Excellent written and verbal communication skills
- Strong attention to detail, particularly when reviewing documentation and correspondence
- Highly organised with the ability to manage multiple priorities and meet deadlines
- Proactive, reliable, and capable of working on own initiative
- Strong IT skills, including Microsoft Word, Excel, and Outlook
- Typing speed of 40–50 wpm minimum
- Professional and personable approach to client interaction
- Ability to work collaboratively while remaining self-motivated
- Experience with case management systems (e.g. Practice Evolve or similar) is desirable but not essential
