Accounts & Office Administration

We’re seeking an experienced Accounts & Office Administrator to join our clients team on a permanent part-time basis. You will play a pivotal role supporting both the finance and administrative operations of the business. This role has a strong focus on finance and accounting, with additional responsibilities in office support.

Key Responsibilities

Finance & Accounts:

Posting supplier invoices and maintaining accurate records.
Issuing client invoices (multi-currency) and managing billing schedules.
Monitoring accounts receivable, chasing overdue payments, and managing credit control.
Process employee expense claims & reimbursements.
Liaising with external accountants at year end and monthly ensure timely payroll processing.
Managing ledgers, journal entries, and accruals.
Reconciling bank accounts, credit cards and managing accounts payable.

Supporting quarter-end processes and reporting.

Office Administration:

Coordinating new starter onboarding and setting up employees on payroll, internal, and HR systems.
Maintaining employee records.
Liaising with suppliers and service providers (e.g., waste management, office utilities).
Supporting the Managing Director with calendar management, booking meetings, travel arrangements, and administration support.

General office upkeep and other ad hoc administrative tasks as required.

For You:

Part-time permanent role (3 days per week).
€40,000 DOE (pro rata).
Located conveniently in South Dublin, close to train and bus routes.
Parking onsite.
Pension after successful probation.

A hands-on and multifaceted position.

Key Requirements:

Accounting technician qualification or similar.
Strong experience in finance and office administration roles.
Proficiency with QuickBooks.
Previous experience in invoice processing, billing, and credit control.
Previous experience with multicurrency.
Ability to manage multiple priorities with a high degree of accuracy.
Excellent communication skills and confident liaising with external stakeholders.
