Scheduling & Administration Assistant
Kerry Respite Care are looking to fill the position of Scheduling AssistantFixed term post 12 months 37.5 hrs per week
Purpose of Position
The Scheduling & Administration Assistant will work closely with the Management and Care Coordination team in coordinating and supporting the implementation of services provided by Kerry Respite Care to individuals we support.
Job Description
Overall responsibility for the day-to-day Scheduling of the Services being provided by Kerry Respite Care and support with administration activities as directed by the Manager. Kerry Respite Care CLG is a company limited by guarantee with a county wide remit.The Board of Kerry Respite Care CLG is made up of a voluntary management committee. Kerry Respite Care provides home care services to older people, people with disabilities and long-term illnesses. We are dedicated to helping people remain living at home independently and to supporting those caring for a friend or relative at home.
ResponsibilitiesThe role encompasses duties as listed below but may evolve due to the nature of the work and needs of the organisation:
Assisting the Manager with various tasks related to scheduling to ensure client requirements are appropriately resourced.
Ensuring that staffing requirements for every work shift comply with both internal policies of the organisation and external regulations.
Preparing and organising work schedules for employees to make sure that the required/appropriate number of staff are on duty in every given work period/shift.
Collaborates closely with both the Manager and office team to ensure clear communication of rosters and schedules.
Implementing future planning including manually updating Time Management System in event of Bank Holidays, special occasions such as Christmas and Red weather warnings.
Timely reporting of inconsistency, scheduling-related issues, and vacancies to the Manager or their designate.
Verifying employee work hours with the company’s payroll department on a regular basis to make sure that payments are made accurately.
Monitoring upcoming Leave for Staff and putting plans in place to ensure continuity of service.
Upholding confidentiality of sensitive information.
Participating in on-call services to support our clients and ensure business continuity. This may include weeknights and some weekends.
Skills, Competencies & AttributesExcellent organisational, communication, interpersonal and teamwork skills.
Ability to maintain effective working relationships with stakeholders.
Proficiency in computer applications such as Microsoft Suite, Teams, CRMs and online communication platforms.
Ability to effectively plan and prioritise tasks based on their importance, deadlines, and available resources, while remaining adaptable to changing circumstances
