This Work Placement Experience Programme provides Participants with an opportunity to gain meaningful work experience, learning and training while on the programme. This programme is for jobseekers who are in receipt of qualifying social welfare payments and those transferring from a social welfare scheme or an ETB Training Allowance.

Your eligibility for this programme will be verified by the Department as part of the application process.

Job Description

Applicants should supply suitable character references and be prepared to complete a Garda vetting application form.

Training & mentoring will be provided throughout the placement so that by the end of it will become competent in managing Reception in a busy private medical clinic and carrying out medical administration.
Through guidance and support from colleagues will learn about Reception duties to include following: Greeting patients, requesting patient details, taking payments, reconciling payments at end of day.
Administration duties will involve preparing medical files for clinics, scanning medical information, creating clinic lists and theatre lists, booking patients for surgery. Liaising with staff in clinic, Auteven Hospital and other medical organisations.

You will be trained in all aspects of clinic Administration and provided on going support from members of the clinic Team.

Role Description

Formal Training
  • Instruction on reception procedures for a busy private medical clinic, including patient greeting protocols, requesting patient details, and handling payments.
  • Detailed training on managing administrative tasks such as file preparation, scanning medical information, and creating both clinic and theatre lists.
  • Step-by-step guidance in booking patients for surgery, using clinic software or manual systems, ensuring accuracy and confidentiality.
  • Specific sessions addressing the processes for payment reconciliation at the end of the day with practical examples and standard operating procedures.
  • Formal sessions on data protection, confidentiality, and medical record management to ensure adherence to legal and health regulations.
  • Overview training on liaising with other key medical entities (e.g., Auteven Hospital and other organisations) to foster professional communication and efficient workflow.
  • Scheduled training assessments and evaluations to monitor progress and ensure competence in both reception and administrative duties.
  • Use of formal checklists and evaluation tools to track the development of key skills during the placement.
Informal Training & Mentoring
  • Day-to-day mentoring from experienced clinic staff, ensuring immediate support when challenges arise.
  • Shadowing opportunities with colleagues to observe best practices in patient interactions and medical administration tasks.
  • Informal team meetings to discuss experiences, clarify doubts, and share tips on managing reception pressures effectively.
  • Opportunities to engage in problem-solving discussions and receive real-time feedback on performance.
  • One-on-one sessions with a designated mentor who will provide personalized advice tailored to the pace of learning and specific areas of improvement.
  • Open-door policy for daily queries, ensuring that learners are not solely reliant on scheduled training sessions but also benefit from an environment of continuous learning and encouragement.
