The Role

My client, an established Irish tax consultancy firm, is seeking an experienced Administrative Assistant to join their team based in Dublin 8. This is a full -time, permanent, office based position.

As the Administrative Assistant, you will be responsible for keeping the firms advisors organised and clients supported by managing correspondence, diaries, and files while ensuring every client receives a seamless, professional service.

Tasks & Duties
  • Oversee professionals’ email inboxes, screen and direct calls, respond to client queries where possible, and ensure timely follow-up.
  • Arrange and confirm appointments, manage e-meetings (Zoom), and provide support and hospitality for onsite meetings.
  • Open new files, ensure proper documentation, and manage AML (anti-money laundering) requirements.
  • Enter and update data in the case management system, organise records, and ensure information is accessible and accurate.
  • Assist professionals with ad hoc tasks, scanning, filing, and other office duties to keep workflows running smoothly.
Experience, Knowledge & Qualifications
  • Minimum 4 years’ experience in a professional office environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail in reviewing documents and correspondence.
  • Initiative, reliability, and the ability to manage multiple tasks and deadlines.
  • Typing speed of 40–50 wpm and strong IT skills (Excel, Word, Outlook).
  • A professional demeanour, strong work ethic, and ability to work both collaboratively and independently.
  • Experience with Practice Evolve (or similar) is a plus but not essential.
