Purpose of the Role
This role provides structured and efficient back-office administrative support to ensure the smooth internal operation of the school. Working behind the scenes, the postholder will focus on maintaining accurate records, supporting internal processes, and assisting the leadership team with organisational and administrative responsibilities.
The role requires a high level of attention to detail, organisation, and confidentiality, with limited front-of-house duties.
Key Responsibilities
Core Administration (Primary Focus)- Provide comprehensive administrative support across all school departments.
- Prepare and manage documentation including reports, letters, forms, and internal communications.
- Maintain organised electronic and paper filing systems.
- Support diary management, scheduling, and coordination of internal meetings.
- Assist in streamlining administrative processes to improve efficiency.
- Maintain accurate and up-to-date student records and databases.
- Process student admissions, transfers, and withdrawals.
- Support attendance tracking and reporting systems.
- Ensure strict compliance with data protection and confidentiality requirements.
- Provide administrative assistance to the Principal and Deputy Principal as required.
- Coordinate meetings, prepare agendas, and organise documentation.
- Support recruitment administration, including scheduling interviews and document preparation.
- Support the preparation and distribution of internal communications such as staff notices and updates.
- Assist with coordination of information flow between departments.
- Maintain accurate contact records and communication lists.
- Assist with processing invoices, purchase orders, and administrative financial tasks.
- Maintain office supply records and coordinate ordering as needed.
- Support general operational administration and resource tracking.
- Provide administrative assistance for school events, including preparation of materials and documentation.
- Coordinate logistics such as printing, supplies, and documentation preparation.
- Maintain accurate records in line with regulatory and school requirements.
- Support safeguarding administration processes, including documentation and record tracking.
- Ensure all work is carried out with a high level of discretion and confidentiality.
Person Specification
Experience & Knowledge- Previous experience in an administrative or back-office role (essential).
- Experience managing records, databases, or administrative systems.
- Strong understanding of administrative processes and data management.
- Excellent organisational and time-management skills.
- High level of accuracy and attention to detail.
- Strong written communication skills.
- Ability to manage multiple tasks and deadlines effectively.
- Proficiency in office software and database systems.
- Highly organised and methodical approach to work.
- Discreet and trustworthy, with the ability to handle confidential information.
- Self-motivated with the ability to work independently.
- Supportive team player with a proactive attitude.
- Part-time position based on-site in a school office in Dublin 6.
