Administrative Assistants

We are looking for Administrative Assistants to join our client, an Educational Institution, for temporary contracts both full time/ part time hours. These roles are Mon-Fri, with varying hours during the week based in the heart of Galway City.

Key Duties and Responsibilities

The post holder will be required to:

  • Provide a comprehensive and professional administrative and support service.
  • Assist in the preparation of reports, correspondence, and other documentation as required.
  • Provide administrative support for meetings, including organising logistics and taking minutes when necessary.
  • Respond to queries and requests for information in a professional, courteous, and timely manner.
  • Deliver high standards of customer service when dealing with the public, stakeholders, and internal staff, acting on feedback and reporting issues to line management as appropriate.
  • Take ownership of assigned tasks, prioritising competing demands to ensure work is completed on time and to a high standard, with excellent attention to detail.
  • Carry out routine accounts or financial administration duties where required.
  • Work efficiently using own initiative as well as collaboratively as part of a team.
  • Check work thoroughly to ensure accuracy and consistency.
  • Undertake other appropriate duties as assigned by line management.
  • Maintain up-to-date knowledge of relevant organisational policies, procedures, and areas of responsibility.
Essential Criteria (Skills and/or Experience)
  • Passes in five subjects at Leaving Certificate level or equivalent, or a recognised post-Leaving Certificate administrative/office technology qualification.
  • A minimum of two years’ relevant employment experience demonstrating a high level of administrative support in a demanding office environment.
  • Excellent IT skills, with proficiency in the MS Office suite.
  • Proven ability to work effectively both independently and as part of a team.
  • Demonstrated track record of meeting deadlines and successfully completing tasks.
  • Experience supporting operational processes and working with a range of stakeholders.
  • Excellent communication, planning, and prioritisation skills.
  • High level of initiative, drive, and motivation.
  • Consistently high levels of accuracy and attention to detail.
