Based in Women's Collective Ireland DLR Loughlinstown
Duties to Include:
The following is not an exhaustive list of the duties associated with the post but is intended for the guidance of the person assigned to the job- To report for work at the appropriate time and leave at the appropriate time.
- Meet and greet visitors to the centre in appropriate and friendly manner at all times.
- Answer and deal with enquiries by phone, email and in person in a professional and friendly manner.
- Keep accurate records of telephone messages and pass messages to appropriate persons.
Administration duties for all WCI DL departments, this includes:
- Typing minutes and general administration duties eg: shredding / maintaining files and stationary.
- Assisting with the production, photocopying, stapling and delivery of WCI DL publications – newsletter & flyers.
- Booking of meetings, organising of rooms and booking other events to the centre.
- Ensuring rooms and venue are ready for use before each course, and also cleaned up after each event.
- Managing participant lists for courses and meetings accurately as per templates provided.
- Correspondence, filing, photocopying, printing for people who come to the office for assistance etc.
- Working as part of a team with all WCI DL staff, including being back up to the team in relation to any duties needed as part of a team e.g. keeping WCI DL premises clean, assist with room setups, going to the shops as needed for sundries for courses etc.
- Attend PICES training and team meetings as required.
- Respect and maintain confidentiality of all aspects of the centre activities and service users.
- Other relevant duties as assigned from time to time.
Essential Requirements:
- Friendly and open manner.
- Good communication and interpersonal skills.
- Ability to work as part of a team and on own initiative.
- IT Skills – Microsoft word, excel experience an advantage.
- Attention to detail, accuracy and good organization skills.
