We are looking for an Office Experience & Facilities Assistant who does more than just /"manage a desk./" This individual will be the architect of the daily workplace experience, ensuring a seamless, high-touch environment for elite professionals and international guests.
Acting as the right hand to the Office Manager, you will balance front-of-house hospitality with back-of-house operational logistics.
Responsibilities:
- Host Excellence: Act as the /"Director of First Impressions,/" providing a sophisticated and warm welcome to all employees and high-profile visitors.
- Environment Management: Maintain a /"five-star/" aesthetic across the reception area and conference suites-ensuring they are always guest-ready.
- Logistics Orchestration: Take full ownership of access control, courier management, and the seamless flow of deliveries and communications.
- Facility Maintenance: Be the primary liaison for building engineers and specialized contractors to ensure the office infrastructure is flawless.
- Internal Support: Act as the first point of contact for employee needs, from workspace troubleshooting to coordinating first-day logistics for new hires.
- Supply & Event Management: Manage the supply chain for kitchen and office essentials and provide hands-on support for high-impact company events and conferences.
- Financial Oversight: Assist in reviewing facilities-related quotes and invoices to ensure operational efficiency.
The Ideal Candidate:
- Experience: 2+ years in facilities management, high-end hospitality, or a corporate front-of-house role within a fast-paced environment.
- Mindset: An analytical problem-solver who doesn't just see a task, but understands the /"why/" behind it. You take extreme ownership of your space.
- Agility: You thrive in high-pressure settings and can pivot seamlessly between administrative tasks and hands-on facility repairs.
- Reliability: You possess impeccable integrity and are comfortable with the standard 08:30-17:30 schedule, with the flexibility to occasionally oversee contractors out of hours.
- Tech Savvy: Proficient in the Microsoft Office suite and capable of coordinating with Tech Teams for office-wide logistics.
