My Client in the financial sector is seeking an experienced full-time administrative assistant to join the firm. The role is a permanent role and would suit an individual who can work well independently but enjoys working as part of a team. General Role

The successful candidate will be assisting two Chartered Tax Advisors, helping to manage their client workload, with a focus on client service.
  • Review, categorise, prioritise and distribute incoming client correspondence. Assist
clients where possible, so that the query is dealt with at point of initial contact
  • Ensure client files are progressing appropriately by liaising with the relevant individuals
within the firm, with a focus on client service
  • Answering the phone, directing queries to the relevant person, taking messages
  • Diary management
  • Assisting other staff

Responsibilities include, but are not limited to:

  • Managing 2 professional’s email inboxes, ensuring correspondence is saved to the
relevant area, and responded to within a timely manner
  • Answer telephone, screen and direct calls
  • Take and relay messages, or if possible, deal with query while on the call
  • Schedule meetings and send meeting confirmations
  • Opening new files
  • Managing AML (anti money laundering) on client files
  • Data entry on case management system
  • Manage e-meetings (via Zoom) and greet clients for any onsite meetings
  • Support professionals during any onsite meetings (refreshments, scanning etc)
  • Ad hoc tasks where required
Key Competencies
  • Minimum 3 years’ experience in a professional office environment
  • Excellent communication skills, both written and verbal
  • High level of attention to detail in reviewing documents and correspondence
  • Initiative and reliability
  • Capable of managing multiple tasks and meeting deadlines
  • Typing speed of 40-50 wpm minimum
  • Strong IT and system skills, experience with Excel, Word and Outlook desirable
  • Strong work ethic and professional demeanour
  • Ability to work collaboratively as part of a team, while also being proactive and self motivated
  • Experience with the Practice Evolve package (or similar) is preferable but not essential
