We are hiring on behalf of an American software company for a talented and enthusiastic Executive Assistant & Office Manager to join their team and play a crucial role in supporting office leadership and wider operations as they set up their base in Ireland.
A Role Where No Two Days Are the Same. This is a truly multifaceted role where you'll be integral to the efficiency and positive culture of the office. Your responsibilities will span a variety of areas, offering excellent variety and the chance to develop a broad skillset.
Key responsibilities will include:
- Maintaining accurate and up-to-date information, with a significant focus on data entry within Salesforce system. Meticulous attention to detail is essential.
- Providing comprehensive administrative support to office leadership, including diary management, email correspondence, and preparing presentations.
- Assisting with basic HR administration tasks, such as onboarding paperwork, maintaining employee records, and supporting internal communications.
- Supporting minor financial tasks, including processing expenses and managing invoices.
- Ensuring the smooth day-to-day operation of the office, managing supplies, vendor relationships, and maintaining a well-organised and welcoming environment.
- Arranging complex travel itineraries for individuals and teams, including flights, accommodation, and ground transportation - a significant part of the role.
- Providing administrative support to the sales teams, including preparing reports and assisting with client communications.
- Playing a key role in the planning and execution future office relocation, ensuring a seamless transition.
- Assisting with the coordination and logistics of company conferences, events, and internal meetings.
What We're Looking For:
- Proven experience in a similar Executive Assistant / Office Manager role, ideally with experience supporting senior management.
- Exceptional administrative skills and a high level of accuracy is essential.
- Experience using Salesforce or a similar CRM system is highly desirable.
- A proactive and resourceful approach with a can do attitude
- Excellent communication and interpersonal skills, with the ability to build positive relationships across the organisation.
- A collegial spirit and a genuine desire to contribute to a positive and energetic work environment.
- Flexibility to occasionally work slightly outside of standard hours, particularly in relation to travel arrangements and event support.
- Strong organisational and problem-solving skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Full working authorisation in Ireland
