DWF is currently seeking a proactive and detail-oriented Administrative Assistant to join our Dublin office. This is a full-time position requiring onsite presence five days a week.
As an Administrative Assistant, you will play a key role in supporting the Central Services Team, contributing to the smooth running of daily operations. This role offers a fantastic opportunity to build foundational skills and gain hands-on experience that will prepare you for progression into a Personal Assistant position.
Responsibilities:
- Room bookings: Ensuring that all rooms are booked for meetings with the relevant client support team with the appropriate facilities provided via direction from the team.
- Document production: Producing documents via direction from the team, ensuring that the correct software is dependent on the intended use and documents are produced to a high standard.
- Arranging meetings both internally and externally via direction from the team.
- Photocopying and scanning documents as and when required.
- Taking Telephone messages
- Inbox management via direction of the owner.
- Keeping all stationery items up to date.
- File management: Archiving, managing title deeds, housekeeping of files using various systems.
- Photocopying and scanning documents.
- Dealing with incoming/ outgoing post.
- Supporting the organisation of team projects as and when required.
- Assisting PAs and Executive Assistants as and when required.
- Following the Firm's policies and procedures at all times.
- Ensuring confidentiality is always maintained.
What will help you succeed in this role? :
Essential- At least one years’ administrative training and experience within a similar environment.
- Basic IT and keyboard skills with knowledge of Word, Excel, PowerPoint.
- Attention to detail – ensuring all work and documents are produced to a high standard.
- Knowledge of relevant document management systems.
- Good administration / organisational skills.
- Ability to work to set deadlines and service levels.
- A good team spirit with proven team working skills.
- Excellent communication skills.
