Overview

Our client, a leading organisation within the infrastructure and energy sector, is seeking a Project Coordination Specialist to support the delivery of large-scale capital projects. Reporting to the Project Manager and working closely with the Project Management Office (PMO), this role will play a key part in ensuring projects are delivered on schedule, within budget, and in line with governance requirements.

Key Responsibilities
  • Support the successful delivery of large-scale infrastructure projects by assisting Project Managers and the PMO team.
  • Contribute to the development and maintenance of project management plans covering scope, schedule, cost, quality, resources, communications, risk, procurement, and stakeholder management.
  • Ensure project governance processes are followed and assist with reporting to senior management and key stakeholders.
  • Build strong working relationships across project teams to promote compliance with established procedures and processes.
  • Coordinate project communications, including the preparation of meetings, reports, presentations, and project documentation.
  • Administer document management systems and maintain accurate version control across project records.
  • Monitor project progress, track deliverables, and follow up on actions arising from project meetings.
  • Prepare and maintain project control documentation, including schedules, financial trackers, risk registers, issue logs, and action trackers.
  • Support stakeholder and community engagement activities as required.
  • Assist with procurement activities, including purchase order processing, contract administration, and expenditure monitoring.
  • Produce financial reports, comparing actual spend against budget and forecasting project costs to completion.
  • Promote and adhere to all health, safety, and environmental requirements.
  • Contribute positively to team objectives and continuous improvement initiatives.
Requirements
  • Third-level qualification in Engineering, Business, Project Management, or a related discipline.
  • A postgraduate qualification in Project Management would be advantageous.
  • Minimum of 1 year’s experience in a project coordination or project support role, ideally within infrastructure, utilities, construction, engineering, or energy sectors.
  • Strong understanding of project management principles and methodologies.
  • Excellent communication, report writing, and organisational skills.
  • Proficiency in Microsoft Office applications and Microsoft Project.
  • Experience with document management and collaboration platforms such as SharePoint, ProjectWise, ShareFile, or similar systems would be highly beneficial.
  • Professional project management certification (e.g., PMP, PRINCE2, CAPM, or equivalent) would be an advantage.
