An established professional services firm is seeking an experienced, proactive, and detail-oriented Client Service Administrator to join their team.
This is a full-time, permanent, and fully onsite role. It is ideal for a self-motivated professional who excels at working independently but thrives in a collaborative team environment.
The Role
In this pivotal role, you will directly support two senior professionals, helping to manage their daily workload with a primary focus on delivering exceptional client service.
Key Responsibilities:
- Inbox & Correspondence Management: Manage two senior professionals' email inboxes. Review, categorise, and prioritise incoming correspondence, ensuring everything is saved correctly and responded to promptly.
- Client Relations & Front-of-House: Answer and screen phone calls, take accurate messages, or resolve client queries directly at the point of contact. Greet clients for onsite meetings and facilitate virtual meetings (via MS Teams).
- Workflow Coordination: Ensure files are progressing appropriately by liaising with internal team members and external professional advisors.
- Calendar & Meeting Logistics: Manage busy diaries, schedule appointments, send meeting confirmations, and provide meeting support (refreshments, scanning, etc.).
- File & Compliance Management: Open new client files and handle critical compliance administration, including AML (Anti-Money Laundering) documentation.
- Data & Systems Administration: Perform data entry and maintain accurate records within the internal case management system.
- Facilities Coordination: Act as the point of contact for external service providers (IT support, cleaning, maintenance, etc.).
- Ad-Hoc Support: Assist other staff and take on administrative tasks as required to keep the office running smoothly.
- Experience: Minimum of 3 years' experience in a professional office environment. Experience working within a legal firm or similar structured corporate environment is a strong plus.
- Communication: Exceptional written and verbal communication skills with a professional demeanour.
- Attention to Detail: High level of accuracy in reviewing documents, entering data, and managing compliance.
- Organization: Proven ability to multitask, manage competing priorities, and meet tight deadlines.
- Technical Skills:
- Strong IT proficiency, specifically with MS Office (Word, Excel, Outlook, Teams).
- Typing speed of at least 40-50 wpm.
- Experience with Practice Evolve (or a similar case/practice management system) is highly preferable but not essential.
- Work Ethic: Highly reliable, self-motivated, and proactive, with the ability to handle sensitive information with discretion.
