Senior Facilities Manager / Facilities Lead
As a Senior member of the Facilities Management team, you provide strategic and operational leadership across all aspects of the client's workplace environment. You are accountable for delivering a safe, compliant, high‑performing, and exceptional workplace experience across multiple floors and buildings.
You act as a trusted advisor to the client, ensuring facilities services align with business needs, growth plans, and changing operational demands. The role requires strong commercial awareness, sound judgment, and the ability to lead complex operational activity while continuously driving service improvement and excellence.
You ensure full compliance with company standards, contractual obligations, statutory requirements, and building and safety regulations, while proactively identifying risks, efficiencies, and opportunities for enhancement.
MAIN DUTIES AND RESPONSIBILITIESClient, Stakeholder & Leadership Responsibilities
Lead and develop strong, strategic relationships with internal and external stakeholders, acting as the senior point of contact for facilities-related matters. Anticipate client needs and proactively deliver solutions that support the business.
Provide senior operational leadership to ensure a consistently high-quality workplace experience across all assigned sites, including building systems, aesthetics, services, and amenities.Influence decision-making through clear communication, data‑driven insight, and professional judgment, ensuring facilities strategy supports wider business objectives.
Act as escalation point for complex issues, risks, and incidents, ensuring timely resolution and effective communication with the client and senior management.
Facilities Operations & Technical Oversight
Own the operational performance of all building systems, maintaining an expert-level understanding of HVAC, BMS, life safety systems, and critical infrastructure. Lead troubleshooting, prioritisation, and escalation of technical issues.Liaise closely with building management and landlords on daily operations, capital works, compliance, and service performance.
Oversee space planning and workplace changes, including team moves, desk installations, and reconfigurations, ensuring minimal business disruption and alignment with fluctuating business demands.
Maintain and govern Facilities master documentation, including floor plans, asset registers, calendars, operating manuals, and compliance records.
Vendor, Contract & Service Management
Manage and optimise vendor and partner relationships, ensuring delivery against contractual SLAs, KPIs, and performance standards.Demonstrate a thorough understanding of all vendor contracts, ensuring compliance with terms, scope, and commercial agreements while driving continuous improvement.
Schedule and coordinate vendors, service providers, and contractors to business‑appropriate timeframes, overseeing works on site where required.
Proactively identify service gaps, risks, and cost efficiencies within the supply chain and recommend improvements.
Financial & Contract Management
Lead financial management activities for Facilities, including raising and approving purchase orders, processing invoices, monitoring spend, and ensuring financial governance across Dublin and additional sites as required.Partner with the Contract Manager to manage WIP, debt, budgets, and forecasting, providing insight and recommendations as needed.
Ensure timely and accurate raising of sales invoices in line with contract requirements.
Compliance, Health & Safety & Governance
Champion Health & Safety leadership, ensuring full compliance with statutory requirements, company policies, and client standards.Support and challenge best practice in risk management, hazard reporting, audits, and incident response, promoting a strong safety culture.
Ensure all facilities processes, helpdesk systems, and CAFM platforms are operated to the highest standard.
Service Management & Continuous Improvement
Oversee Facilities helpdesk operations, ensuring effective triage, prioritisation, escalation, and resolution of all requests with excellent customer service outcomes.Drive continuous improvement initiatives by analysing performance data, customer feedback, and operational metrics.
Lead or contribute to special projects, workplace initiatives, and change programmes as required.
Perform with a strong understanding of business change, growth, and transformation, ensuring facilities support evolving organisational needs.
PERSON SPECIFICATION
Education
Essential:
Degree-level qualification or equivalent significant experience in Facilities Management or a related discipline.
TrainingEssential:
Advanced PC skills (Windows, Excel, Word, Outlook).Health & Safety training (e.g. IOSH or equivalent preferred).
ExperienceEssential:
Extensive experience using CAFM and financial management systems.Several years of experience in workplace or corporate Facilities Management, including responsibility for vendors, contracts, and budgets.
Desirable:
Experience managing multi‑site or complex corporate environments.Experience working in a client-facing or outsourced FM environment.
