About the Role
We’re looking for a proactive and professional Finance Administrator to join our Administration team. You’ll be the first point of contact for facilities management requests, supporting both our on-site teams and clients. This is a key role where excellent communication, organisation, and customer service skills are essential.
What You Will Do: Assist the Compliance Manager and Finance Manager with the preparation, production and reporting of month-end accounts.
Maintain financial control procedures and ensure all documentation is completed in line with company compliance standards and timelines.Oversee purchasing compliance for the contracts, including raising purchase orders and managing supplier queries.
Maintain accurate and auditable financial records including invoices, material orders and timesheets.
Prepare financial and management reports as directed by the Finance Manager.
Support payroll processing and facilities accounts administration where required.
Monitor unit pre-payments, monthly accruals and ensure accurate recording of sales and expenditure within the correct trading period.
Ensure accurate completion of invoicing and final billing to clients.
Support credit control procedures and manage unit debt in line with company policy.
Work collaboratively with site teams and stakeholders to support operational and financial requirements.
Ensure compliance with company and client policies including health & safety, safe working practices and statutory regulations.
Maintain strong relationships with colleagues, suppliers and clients while supporting a “One Team” approach.
What We Are Looking For:Strong organisational, analytical and time management skills with the ability to prioritise workload in a fast-paced environment.
Excellent communication skills with the ability to build strong relationships with internal teams, suppliers and stakeholders.
High level of IT literacy with strong proficiency in Microsoft Excel, along with Outlook, Word and PowerPoint.
Good financial acumen with an understanding of financial reporting and accounts administration.
Ability to work independently while supporting wider team objectives.
High attention to detail and ability to meet reporting deadlines.
Desirable: Working knowledge of accounting practices such as Sales Ledger, Purchase Ledger and Credit Control.
Knowledge of Sodexo systems such as UDC, SAP or E-PropIT.Previous experience in a similar finance, accounts administration or contract administration role.
