South Dublin County Partnership, Unit D1 , Nangor Road Business Park, Dublin 12Have a vacancy for one Receptionist/Administrative Assistant - afternoons.
Reporting to the SDCP Nangor Road Administration and Operations Manager, the role of the Receptionist is to ensure the highest standard of integrity and confidentiality in the maintenance of all matters relating to the administration and operation of SDCP Nangor Road.
To work as an integrated member of the administration and operations team; Attend to visitors and deal with inquiries both on the phone and face to face. Supply information regarding the organisation to the general public, clients and customers.
Duties -Reception
Keep reception area tidy and maintained
Answer telephones, screen and direct calls: Take and relay via email messages all staff via email as soon as possible when staff are unavailable
Provide general information to callers and forward specific queries to relevant staff member
Greet persons entering organisation: Direct persons to correct destination
Deal with queries from the public and customers
Ensure knowledge of staff movements in and out of organisation: Check sign in and out book regularly, update as required
Check with line manager regarding cover for reception or other reception related queriesGeneral administration and clerical support: Prepare letters and documents: Receive, sort and log mail: Receive and sort deliveries
Schedule appointments: Meetings – be aware of what meetings are being held where, when, duration etc; Maintain appointment diary electronically: Maintain and manage room bookings electronicallyMonitoring and ordering stationary supplies when authorised
