The Role
The Information Manager is responsible for planning, coordinating and delivering complete, accurate and compliant construction handover documentation for building projects, including Safety Files and O&M Manuals. The role combines project management, detailed task management and strong communication and presentation skills to ensure clients receive high‑quality digital handover information that supports efficient building operation.
Key Objectives of the Role- Lead the end‑to‑end delivery of construction documentation handover (Safety Files and O&M Manuals) for multiple projects.
- Ensure all required documentation is requested, received, checked and compiled to client, statutory and contractual requirements.
- Provide a single point of contact for clients and project teams on all matters relating to handover documentation.
- Represent Zutec professionally in meetings and presentations with clients and project stakeholders.
Requirements
What are we looking for?- Project and Task Management
- Plan and manage the documentation delivery programme for each project, from project set‑up through to final handover.
- Break down project requirements into clear tasks, schedules and priorities for yourself (and any supporting team members).
- Monitor progress against deadlines, proactively identify slippage and implement recovery actions.
- Coordinate documentation activities across multiple live projects, ensuring consistent quality and on‑time delivery.
- Maintain up‑to‑date project trackers, action logs and status reports.
- Documentation Coordination
- Manage the flow of documents and data into the ZUTEC platform and other agreed systems.
- Request, chase and coordinate documentation from all relevant stakeholders (contractors, sub‑contractors, suppliers, design team, client etc.).
- Ensure all documents are correctly named, structured and filed in line with ZUTEC and client conventions.
- Check documentation for completeness, accuracy, legibility and relevance before inclusion in Safety Files and O&M Manuals.
- Identify gaps in information and follow up with the responsible parties until resolved.
- Compile, review and finalise Safety Files and O&M Manuals (digital and/or hard copy as required).
- Quality and Compliance
- Ensure that Safety Files and O&M Manuals meet statutory, regulatory, client and contractual requirements.
- Apply standard templates, checklists and workflows consistently across all projects.
- Carry out internal quality checks prior to client issue, documenting any non‑conformances and corrective actions.
- Support continuous improvement of Zutec’ documentation processes and standards.
- Client and Stakeholder Communication
- Act as the main point of contact for clients on all matters relating to documentation handover.
- Build strong working relationships with client representatives, project managers, design teams and contractors.
- Clearly communicate documentation requirements, deadlines and expectations to all parties.
- Manage queries and resolve issues in a professional and timely manner.
- Provide regular progress updates and status reports to internal management and clients.
- Presentation and Meetings
- Prepare clear, professional presentation materials to demonstrate documentation progress and final deliverables.
- Lead or contribute to project meetings (internal and external) on documentation status, risks and next steps.
- Present completed Safety Files and O&M Manuals to clients at handover stage, explaining structure, content and how to use the information.
- Confidently represent Zutec in client reviews, workshops and lessons‑learned sessions.
- Systems and Data Management
- Use the Zutec platform and associated tools to upload, manage and publish project documentation.
- Support the digitisation of client asset information into the ZUTEC platform.
- Maintain accurate records of document versions, approvals and issue history.
- Contribute to the development and refinement of internal tools, templates and workflows where required.
- Strong project management skills, with proven ability to plan, organise and deliver to deadlines across multiple projects.
- Excellent task management and attention to detail; comfortable working with large volumes of documentation.
- Clear, confident verbal and written communication skills.
- Strong presentation skills, including preparation of slides and leading client‑facing sessions.
- Ability to build and maintain positive relationships with clients and project stakeholders.
- Problem‑solving mindset, with the ability to anticipate issues and take proactive action.
- High level of IT literacy, including document management systems and standard office applications.
- Ability to work both independently and as part of a team.
