The Role
In this capacity, you will provide proactive, high-impact administrative and operational support to executives and teams with minimal guidance. You will serve as a collaborative communicator, a culture carrier, and a reliable problem solver who drives results independently while elevating the overall effectiveness of the organization.
Key Responsibilities
Administrative & Executive Support- Calendar Strategy: Manage complex calendars, including proactive scheduling, conflict resolution, and global time zone coordination.
- Time Optimization: Provide data-driven recommendations to optimize leadership time allocation across meetings, travel, and core priorities.
- Global Logistics: Coordinate domestic and international travel, including visas, tech readiness, and cultural considerations; remain on-call during travel as needed.
- Meeting Lifecycle: Prepare and support meetings by coordinating logistics, creating high-quality materials, and ensuring alignment with strategic objectives.
- Culture Advocacy: Plan and organize site initiatives related to community affairs, internal communications, and team dynamics.
- Strategic Advising: Advise leadership on programs that enhance team effectiveness and local site culture.
- Community Engagement: Serve as a mentor and active contributor within the broader administrative community across regional locations.
- End-to-End Execution: Lead internal and external programs (e.g., summits, tech talks, and team off-sites) from initiation through delivery.
- Project Oversight: Deliver medium- to large-scale projects independently, managing budgets, vendors, and identifying potential risks before they arise.
- Fiscal Responsibility: Manage expense reporting, invoices, and budget tracking for executive offices.
- Workspace Strategy: Partner with Real Estate and Workplace teams on space planning, headcount management, and office moves.
- Administrative Mastery: Advanced expertise in executive support, calendar management, and complex travel logistics.
- Project Management: Proven ability to manage large-scale events and cross-functional programs with precision.
- Discretion: Absolute commitment to confidentiality and the ability to navigate sensitive policy adherence.
- Communication: Exceptional written and verbal communication skills with the ability to influence stakeholders at all levels.
