The Role:

The Document & Submittal Controller is responsible for the management, organization, distribution, and tracking of all project documentation and submittals. This role ensures that all documents, materials, products, and technical submissions comply with project procedures, contract specifications, and standards, and are accessible to project teams, stakeholders, and the design team in a timely manner.

We are looking for:

  • Previous experience in construction document control, preferably within Ireland.
  • Proficiency with Electronic Document Management Systems (EDMS) such as Procore, Aconex, or SharePoint.
  • Strong knowledge of Microsoft Office suite (Word, Excel, Outlook, Teams).
  • Familiarity with ISO 19650 standards or similar document control frameworks is advantageous.
  • Experience in managing submittals, technical drawings, and contract documentation on construction projects.
  • Excellent organisational skills, attention to detail, and effective communication skills.
  • Understanding of submittal processes, contract specifications, and project documentation

workflows.

Role and Responsibilities:

Document Control & Management:

  • Maintain and manage project document control systems, both digital (EDMS) and paper-based
  • Receive, log, distribute, and track all project documents, including drawings, specifications, reports, and correspondence
  • Ensure strict version control and compliance with established document management procedures
  • Prepare transmittals and maintain accurate document registers
  • Support audits, quality checks, and project handover documentation.

Submittal Coordination:

  • Maintain and update the Submittal Register for the project
  • Prepare and issue submittal packages, including shop drawings, product data, and samples
  • Track submission, review, and approval status with design teams (architects/engineers)
  • Coordinate re-submissions and ensure all comments are addressed promptly
  • Liaise between project management, site teams, and consultants to resolve submittal issues
  • Support compliance with project schedules and documentation standards.

Communication & Training:

  • Liaise with internal teams, subcontractors, consultants, and clients regarding document matters
  • Provide regular reporting on document status, outstanding actions, and submittal progress
  • Train and support project staff on document management procedures and EDMS software (Procore, Aconex, SharePoint).
