Application Details

Eligibility to participate on CE is generally linked to those who are 21 years or over and in receipt of a qualifying social welfare payment for 1 year or more or 18 years and over for certain disadvantaged groups. Your eligibility will have to be verified by the Department.

Job Description

Duties

This is a developmental opportunity, no experience necessary. Accredited training will be provided to support your career.

Purpose of the job:

Greeting callers, assisting with limited information provision, general office duties to include document production, filing, mail handling etc. in support of the work of a busy city centre drop-in information service. Good computer skills required.

Main Duties:

  1. Client interaction in line with service delivery procedures

Be familiar with and observe all relevant policies and procedures

Engage with all clients in a courteous and respectful manner

Filter clients by establishing their needs and either dealing with query, referring to IO at Reception desk or providing a ticket for an office.

Provide basic information, forms, directions etc.

Refer clients to information officers as required

Refer to Citizens Information website and other relevant websites (if required)

Provide relevant printed material in envelope to protect confidentiality

Record all queries on Oyster

Update knowledge – reading websites, printed material etc.

Read emails, memos & information distributed to staff

Communicate and engage with colleagues in a supportive manner

  2. 1 Be familiar with and observe Reception procedures for relevant office location
  3. 2 Ensure stocks of forms available at Reception; bring from storage area or photocopy as required
  4. 3 Ensure booklets and forms are up to date
  5. 4 Ensure all stationery (envelopes etc.) available in Reception
  6. 5 Keep Reception desk clean and tidy
  7. 6 Ensure Reception area is tidy at all times
  8. 8 At opening times: follow procedures for the office in question
  9. 9 At closing times: follow procedures for the office in question
  10. 10 Ensure appropriate sign on front door
  11. Specialist Clinic duties
  12. 1 Provide reception cover for specialist clinics in line with prescribed procedures
  13. Training
  14. 1 Attend In-house Training
  15. 2 Attend Training from CIB calendar if required
  16. 3 Attend external Training Courses if required
  17. 4 Complete Training Feedback Form
  18. 5 If required, provide feedback to team on training attended and place copies of handouts etc. on Shared Folder
  19. Teamwork
  20. 1 Contribute in a positive way to team spirit
  21. 2 Participate at staff meetings
  22. 3 Share ideas on ways of improving service
  23. 4 If not present at staff meetings, ensure you request meeting minutes
  24. Assist in the management of center
  25. 1 Observe health & safety policy and bring any health and safety issues to the attention of the DM.
