Key responsibilities include complex diary and travel management, managing correspondence and communications, preparing documents, and acting as a first point of contact while maintaining strict confidentiality.
Key Responsibilities:Diary Management:
Proactively manage the MD's calendar, schedule appointments, and prioritize conflicting meeting requests to maximize time.
Travel Coordination:
Arrange all aspects of business and sometimes personal travel, including flights, hotels, visas, and detailed itinerary. and to accompany on the business tours when needed.
Communication Management:
Screen phone calls, handle incoming and outgoing post, and manage email inboxes by triaging, prioritizing, and drafting responses.
Document & Report Production: Prepare and edit documents, reports, presentations, and briefing papers, ensuring quality and adherence to deadlines.Meeting Support:
Organise and coordinate internal and external meetings, including booking rooms, arranging catering, preparing agendas, and taking minutes.
Office & System Management: Maintain efficient filing systems (both paper and electronic) and implement or improve administrative systems.Liaison & Stakeholder Relations:
Serve as a first point of contact for internal and external stakeholders, clients, and suppliers, building and maintaining professional relationships.
Project & Task Support:
Assist the MD with special projects, conduct background research, and provide administrative support for various initiatives.
Confidentiality & Discretion: Handle sensitive and confidential information with the utmost integrity and discretion, adhering to company policies.Expense Management: Process expense claims and invoices in line with company policies.
Required Skills and QualificationsOrganisational Skills: Exceptional ability to manage time, prioritize tasks, and coordinate multiple activities.
Communication Skills: Strong verbal and written communication skills for drafting correspondence and liaising with others.
Technical Proficiency: Proficiency with standard office software, particularly MS Office (Word, Excel, PowerPoint, Outlook).
Discretion: Proven ability to handle confidential information with professionalism.
Experience: Experience in administrative support, particularly providing PA support at an executive level.
