Grade IV Medical Secretary – Portlaoise (with off-site clinics in Mountmellick and one other location – full driving license required)

Full-time temporary , 35 hours per week

This is a vital role within a busy healthcare setting, requiring excellent communication, organisational, and IT skills.

Key Responsibilities
  • Provide high-quality secretarial and administrative support
  • Manage day-to-day clerical operations, ensuring efficiency and accuracy
  • Deal directly with members of the public, patients, and families in a professional and empathetic manner
  • Work closely as part of a multi-disciplinary team, supporting clinical and management staff
  • Manage patient appointments, referrals, and clinic schedules
  • Answer queries in person, by phone, and by email in a courteous and timely way
  • Take minutes of meetings, prepare agendas, and circulate information as required
  • Supervise and support clerical staff where needed
  • Maintain accurate and confidential patient records, files, and correspondence
  • Ensure compliance with GDPR, policies, and internal procedures
  • Provide admin support to off-site clinics in Mountmellick and other designated locations (driving license essential)
Requirements
  • Previous experience as a Medical Secretary or in a busy administrative role (healthcare setting preferred)
  • Strong IT skills (Microsoft Office: Word, Excel, Outlook; database systems)
  • Excellent telephone manner and interpersonal skills
  • Strong organisational skills with the ability to manage multiple tasks and deadlines
  • Ability to work well both independently and as part of a team
  • Full driving license and access to own transport
  • Immediately available
