Service Administration Supervisor - Ireland

As our Service Administration Supervisor, you’ll play a key leadership role within the Service team, overseeing a team of administrators who support the service and maintenance of security systems for a wide portfolio of blue‑chip clients. You’ll report directly to the Service Manager and take ownership of day‑to‑day operations, team performance, and service delivery standards.
This is a role for someone who enjoys autonomy, thrives in a fast‑paced environment, and is confident leading and developing people.
Responsibilities- Lead and support a team of service administrators, managing daily workflow, performance, holidays, and appraisals.
- Oversee customer call‑outs, ensuring all requests are logged and closed accurately in SAP.
- Manage service contract renewals and Software Support Agreements.
- Produce monthly client reports and attend customer meetings with the Service Manager.
- Maintain PPM schedules and ensure engineers have up‑to‑date contract information.
- Prepare weekly and monthly operational reports, including invoicing, open jobs, PPM status, and contract renewals.
- Ensure chargeable works are invoiced promptly and support credit control activities.
- Coordinate with service engineers on scheduling, productivity, training, and daily operational issues.
- Oversee small works from customer request through to completion and invoicing.
- Liaise with Local Service Providers in Ireland and Europe when required.
- Ensure GDPR and ISO27001 compliance across the team.
- Provide ongoing support to the Service Manager on service admin matters.
- Proven experience within a similar role in the security industry is essential.
- Strong organisational skills and the confidence to lead a team.
- Ability to work independently, manage multiple priorities, and communicate clearly with clients and engineers.
- A proactive mindset with a focus on accuracy, efficiency, and continuous improvement.
