Administrator – Aftermarket / Spare Parts Support

Scope
The responsibilities include providing essential operational and administrative support to the Inbound Purchasing team. The role ensures high-quality data integrity, accurate and timely reporting. This position enables Inbound Specialist to focus on strategic supplier management by maintaining efficient procurement processes and systems.
Key Responsibilities- Maintain and ensure the accuracy, completeness, and consistency of procurement data across systems (SAP, Logility).
- Perform regular data quality checks, reconciliations, and audits to identify and resolve inconsistencies.
- Support system clean-ups, data migrations, and periodic master data reviews.
- Data Administration on all PO’s.
- Updating ASN from suppliers to support efficient and timely receipts at warehouse.
- Run standard and ad-hoc reports .
- Compile and distribute regular reports and dashboards.
- Support month-end and quarter-end activities by providing procurement-related data and analysis.
- Assist in preparing materials for management reviews, audits, and business updates.
- Act as a first point of contact during Procurement team members’ out-of-office periods.
- Provide cover for key operational activities (e.g., PO processing, supplier queries, reporting) to ensure uninterrupted service.
- Escalate issues appropriately and support handovers before and after absences.
- Other adhoc duties as required by management
- Knowledge of Logistics Systems advantage
- Excellent Excel and data analysis skills
- Excellent verbal and written communication skills.
- Power BI an advantage.
- High attention to detail with a strong focus on data quality.
- Well-organised, dependable, and able to manage multiple tasks simultaneously.
- Proactive and comfortable working independently as well as part of a team.
- Strong communication skills with the ability to engage with both internal and external stakeholders.
- Minimum of 3 years’ previous experience in an administrative or operations support role.
- Experience working with data, reporting, or business systems is essential.
